“Offline” does not always mean the printer is powered off or broken. It means your computer can no longer communicate with the printer — the connection between them has been interrupted. This can happen over Wi-Fi, USB, or a network, and is almost always fixable without a technician. The printer itself may be perfectly functional.
When offline, every print job piles up in the queue. Even after fixing the connection, a stuck queue can keep the printer offline — clearing it is a crucial step.

Why Is Your Epson Showing as Offline?
Printer Set to “Use Printer Offline” in Windows
Windows has a setting that manually forces a printer into offline mode. It is easy to accidentally enable and is one of the most common reasons an Epson appears offline even when the printer is on and connected.
Wi-Fi Connection Dropped or Changed
The printer lost its Wi-Fi connection, was assigned a new IP address by the router, or is connected to a different network band (2.4GHz vs 5GHz) than the PC — breaking communication silently.
Print Spooler Service Crashed or Frozen
The Windows Print Spooler service manages all print jobs. If it crashes or hangs — often caused by a corrupt job in the queue — all printers appear offline until the service is restarted.
Outdated or Corrupt Printer Driver
A Windows update, a failed driver installation, or driver corruption can break the communication layer between the OS and the printer, causing a permanent offline status until the driver is reinstalled.
Stuck Print Job in the Queue
A stalled print job — particularly one that errored mid-print — can lock the entire print queue and prevent any subsequent jobs from processing, making the printer appear permanently offline.
Router DHCP Assigned a New IP Address
When the printer or router is restarted, the router may assign a different IP address to the printer. If the driver is pointed at the old IP, the printer becomes unreachable and shows as offline.
Firewall or Security Software Blocking the Printer
Third-party antivirus software, Windows Defender firewall rules, or VPN software can block the network ports that the printer uses to communicate, silently dropping the connection.
Quick Fixes — Try These First

Start with Fix 01 and work downward. Most Epson offline issues are resolved within the first three steps. Only move to the platform-specific methods below if the quick fixes do not work.
Restart Printer, Router & PC
Power off the printer, router, and computer. Wait 60 seconds. Power the router on first, wait 30 seconds, then the printer, then the PC. This refreshes all network connections.
Disable “Use Printer Offline” (Windows)
Open Control Panel → Devices and Printers. Right-click your Epson. If “Use Printer Offline” has a checkmark next to it, click it to uncheck and bring the printer back online.
Clear the Print Queue
Open Devices and Printers → right-click Epson → See what’s printing. Cancel every job listed. If jobs won’t cancel, stop the Print Spooler service, delete files in C:\Windows\System32\spool\PRINTERS, then restart Spooler.

Press Windows + R, type services.msc and press Enter. Find Print Spooler, right-click it, and select Restart. This refreshes the print management service without a full reboot.
Check Printer Wi-Fi Connection
On the printer panel, go to Setup → Wi-Fi Setup → Wi-Fi Status and confirm it shows a connected signal. If not connected, run the Wi-Fi setup wizard to reconnect to your router.
Set a Static IP for the Printer
Access your router’s admin panel, find the Epson printer in the connected devices list, and assign it a reserved (static) IP address. This prevents the IP from changing after every reboot.

Remove and reinstall the printer cleanly
Open Printers & Scanners
Press Windows + I to open Settings. Go to Bluetooth & devices → Printers & scanners.
Remove the Epson Printer
Click on your Epson printer, then select Remove device. Confirm removal. This deletes the current (possibly corrupt) driver instance.
Download the Latest Driver
Go to epson.com/support, search your exact printer model, and download the latest full-feature driver package for Windows.

Run the downloaded installer. Choose your connection type (Wi-Fi or USB) when prompted and follow the setup wizard to reconnect the printer to your network.
Set as Default Printer
After reinstall, go back to Printers & scanners, click your Epson, and select Set as default. Send a test print to confirm it is online.

Reset the printing system and re-add the printer
Open Printers & Scanners
Go to Apple menu → System Settings → Printers & Scanners (or System Preferences on older macOS versions).

Right-click (or Control-click) anywhere in the printer list on the left and select Reset printing system. This removes all printers and clears all queues — confirm when prompted.

Download Epson Mac Driver if Needed
If the printer does not appear, visit epson.com/support and download the macOS driver for your model. Install it, then repeat the Add Printer step.
Print a Test Page
Open any document, press Cmd + P, select your Epson from the printer list, and print. Confirm the status shows Idle (not Offline or Paused) in Printers & Scanners.

Print a Network Status Sheet
On the printer: Setup → Wi-Fi Setup → Print Status Sheet. This prints the printer’s current IP address, which you will need in the next steps.

On Windows, open Printer Properties → Ports tab. Check that the IP address listed matches the one on the status sheet. If they differ, the driver is pointing to a dead address.
Update the Port with the Correct IP
In Printer Properties → Ports → Configure Port, update the IP address to match the status sheet. Click OK → Apply. The printer should come online immediately.

Confirm both devices are on the same Wi-Fi band (both on 2.4GHz or both on 5GHz). Many routers broadcast two separate networks — a printer on 2.4GHz cannot talk to a PC on 5GHz.
Disable VPN or Firewall Temporarily
Temporarily disable any VPN software or third-party firewall and retry printing. If the printer comes online, add an exception for your Epson’s IP address in the firewall settings.

My Epson printer is on and connected to Wi-Fi but still shows offline — why?
The most likely cause is that the printer’s IP address has changed since the driver was installed. Print a Network Status Sheet from the printer’s menu, then compare the IP to the one listed in your Windows Printer Port settings. Update the port if they differ.
Why does my Epson keep going offline every few days?
This is almost always caused by the router reassigning a new IP address to the printer via DHCP. The permanent fix is to assign a reserved (static) IP address to your printer in your router’s admin panel so it always gets the same address on every restart.
I cleared the print queue but the printer is still offline. What now?
If clearing the queue did not help, move to the driver reinstall method for your platform (Windows or Mac) above. A corrupt driver instance can keep the printer in a permanent offline state that only a clean reinstall will resolve.
Does unplugging the printer fix the offline issue?
